How Much Does It Cost to Hire an Assistant?

How much does it cost to hire an assistant? Here's a sourced figure for each of three kinds of assistant.

  • A personal assistant. Personal assistant jobs in the US pay an average of $18.80 an hour on Indeed, from about 9,600 salaries in job posts (updated September 28, 2026), as read on October 2, 2026. That's one pay site's figure for job pay, and its page changes often.
  • A virtual assistant. US virtual assistant jobs pay an average of $22.70 an hour on Indeed (updated September 23, 2026) and $19.70 an hour on PayScale, both as read on October 2, 2026. Both are job pay in the US, not a service's price, and Indeed's page changes often. The full breakdown is in virtual assistant cost.
  • An assistant on your payroll. In Texas, a full-time administrative assistant hired as an employee costs $4,073.18 a month at the middle (median) wage. Part time, at 20 hours a week (this site's assumption), the same job costs $2,048.29 a month. A full-time executive assistant in Texas costs $6,481.85 a month. Each of the three is wages plus employer taxes, before benefits, using BLS wages for May 2025 and tax rates for 2026.

None of the payroll figures is a quote: they're middle wages, and a real hire can cost less or more. The payroll math is the main part of this page.

How is each kind of assistant priced?

A personal assistant and a virtual assistant are priced on this page by hourly job pay from pay sites. An assistant on your payroll, such as an administrative or executive assistant, is priced by the month, as wages plus employer taxes. The kinds of figure measure different things, so this page keeps them apart.

The personal assistant figure, in short. Indeed is the one source this page has for a personal assistant, so the $18.80 an hour above is Indeed's figure as read on October 2, 2026, and not a market rate. It's pay taken from job posts, so it isn't a service's price and it has no employer taxes in it. Indeed's page changes often. This page has no figure for a personal assistant service, and none for a personal assistant hired by the day.

The virtual assistant figures, in short. The Indeed and PayScale figures above are job pay in the US, so neither one is a service's price or an overseas rate. Upwork's own cost page puts virtual assistants on Upwork at $10 to $20 an hour in its headline, as of October 2026. Other spots on that page give other figures: its search description gives a median of $13 an hour, and its body text gives an average of $18 to $35 an hour (read October 2, 2026). Overseas, this site has no sourced market rate, only one owner's number: in his own hiring of overseas contractors, Jeremy Kenerson has paid about $1,500 a month for a full-time person.

A virtual assistant can be your employee. The IRS says a person who works for you from somewhere other than your office is your employee under its rules if you can control what will be done and how. The label you use doesn't settle it: the IRS and the Texas Workforce Commission each test for who is a contractor, and independent contractor vs employee covers both tests. Not legal or tax advice. How much does it cost to hire an assistant by the month?

By the month, an administrative assistant hired full time as an employee in Texas costs $4,073.18 at the middle (median) wage, and an executive assistant costs $6,481.85. Both are wages plus employer taxes, before benefits, at BLS May 2025 wages and 2026 tax rates. The table has both jobs, at full time and part time, for Texas and the US. Every figure in it is the employee path.

How to read it:

  • The job names. BLS files the first job under Secretaries and Administrative Assistants, Except Legal, Medical, and Executive. It files the second under Executive Secretaries and Executive Administrative Assistants.
  • Median. That's the middle wage: half of the people in the job are paid less and half are paid more. So a real hire can cost less or more than these figures.
  • By the hour. The median wage for the administrative assistant job is $21.70 an hour in Texas and $22.86 in the US. For the executive assistant job it's $34.61 in Texas and $36.82 in the US. Those are wages only, with no employer taxes added, from BLS's May 2025 data.
  • Texas next to the US. Each Texas figure has $243 a year of Texas unemployment tax in it. That's the 2.70% entry rate for a new employer, on the first $9,000 of pay. The US figures leave state unemployment tax out, since every state sets its own.
  • Part time. Here it means 20 hours a week, 52 weeks a year. No source sets that number: it's this site's assumption.

What does a part-time assistant cost?

A part-time administrative assistant hired as an employee in Texas costs $2,048.29 a month at the middle (median) hourly wage. That's wages plus employer taxes, before benefits (BLS May 2025 wages, 2026 tax rates). At the US median wage it's $2,136.26 a month, with no state unemployment tax counted. Both figures assume 20 hours a week, which is this site's assumption.

Here's the Texas math:

  1. Wages: $21.70 an hour for 20 hours a week and 52 weeks is $22,568.00 a year.
  2. Employer taxes come to $2,011.46 a year: $1,399.22 for Social Security, $327.24 for Medicare, $42.00 for federal unemployment tax and $243.00 for Texas unemployment tax.
  3. Total: $24,579.46 a year, or $2,048.29 a month when divided by 12.

The part-time figure is a little more than half the full-time one, because the two unemployment taxes come to the same $42 and $243 a year either way: the wages pass both caps.

BLS counts anyone who usually works under 35 hours a week as part time. That's for its statistics only, BLS says, and it isn't a legal definition.

What does an executive assistant cost?

A full-time executive assistant hired as an employee in Texas costs $6,481.85 a month at the middle (median) wage. The figure is the wage plus employer taxes, before benefits, at BLS's May 2025 wage and the 2026 tax rates. Part time, at 20 hours a week, it's $3,252.75 a month.

The BLS median wage for this job was $34.61 an hour in Texas and $36.82 an hour in the US in May 2025. By the year, that's $71,990 in Texas and $76,590 in the US.

Here's the Texas full-time math, line by line:

  1. Median wage: $71,990.00 a year.
  2. Employer Social Security, 6.2%: $4,463.38.
  3. Employer Medicare, 1.45%: $1,043.86.
  4. Federal unemployment tax: $42.00.
  5. Texas unemployment tax: $243.00.
  6. Total: $77,782.24 a year, or $6,481.85 a month when divided by 12.

At US median wages the same job comes to $6,874.26 a month full time and $3,438.68 a month part time. State unemployment tax isn't in the US figures.

What's left out of these numbers?

These monthly figures leave out six costs: benefits, paid time off, equipment, software, the cost of hiring, and workers' comp if you choose to carry it.

Benefits aren't in these totals. The first hire cost page gives a BLS national average for scale, and says why you shouldn't add it to these totals. Which benefits an employer must or should offer is outside this page.

Workers' comp is a private employer's choice in Texas, and in most cases it isn't required. The choice comes with paperwork. An employer with no coverage has to file a notice with the state, post a notice at work and give new employees written notice. Once it has five or more employees, it also has to report work injuries with more than one day of lost time. The first hire steps page has the dates, and what the state says coverage does. If you do carry it, the premium is one more cost on top, and this page has no figure for it.
